View, modify or delete data

You have the right to view, correct or delete your personal data. This means you can submit a request to us to send the personal data we hold about you in a computer file to you or another organisation you have designated.

You can send a request for access, correction, deletion, data transfer of your personal data or a request to withdraw your consent or object to the processing of your personal data to info@tandartsutrechtcentrum.nl. To ensure that the request for access has been made by you, we ask you to send a copy of your identity document with the request. Black out your photo, MRZ (machine readable zone), passport number and citizen service number (BSN) in this copy to protect your privacy.

We will respond to your request as quickly as possible, but within four weeks. Tandarts Utrecht Centrum also wishes to inform you that you have the option of filing a complaint with the national supervisory authority, the Autoriteit Persoonsgegevens (Dutch Data Protection Authority).

How we secure personal data

Tandarts Utrecht Centrum takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. If you feel that your data is not properly secured or there are indications of misuse, please contact us at info@tandartsutrechtcentrum.nl.

AI receptionist (phone)

When our reception is unavailable β€” for example outside opening hours or when a call is busy or not answered β€” your call may be handled by an AI assistant. You will be clearly informed of this at the start of the call. The AI helps with frequently asked questions, refers emergencies to the out-of-hours dental service, and takes callback requests.

For this AI service we use ElevenLabs as a processor. During the call your voice is converted to text (a transcript) so the AI can respond. The transcript and a short summary are emailed to our front desk. Unless explicitly told otherwise, we do not store an audio recording of the call.

We retain transcripts and summaries for no longer than 30 days, after which they are automatically deleted. A Data Processing Agreement (DPA) compliant with the GDPR has been concluded with ElevenLabs. Processing takes place in the Europe/United States region β€” for the current status see ElevenLabs's sub-processor list.

You have the right to request a copy of your transcript or have it deleted. Send your request to info@tandartsutrechtcentrum.nl. If you'd prefer not to speak with an AI assistant, you can end the call and reach us during office hours, or send us an email. Have a complaint about how the AI assistant handled your call? Send it to info@tandartsutrechtcentrum.nl or call us during office hours β€” a staff member will respond within fourteen days.
